The time has come for you to relocate you business to a new facility. Regardless of whether you are moving across the street or out of state it is very important to plan your move and gather all the necessary information before hand. Careful planning of your move will help you save time and money on your relocation and will get your business operation back up and running faster. We offer a free on-site move planning and consultation as well as a binding moving cost. Before we send a relocation consultant to your office it is very important that you provide us with the following information:
Contact the facility management of the facility you moving from and to, and request their terms and conditions for moving. The terms will include the following:
- The type of insurance they require from the carriers before the move. In most cases the facility management needs to be covered by the carrier in case of damage to the facility during the move. The insurance certificate from the carrier's insurance agent needs to be faxed directly to the management office. The insurance certificate will include the management's name, the facility address, date of the move and the total coverage. If the certificate is required, all you have to do is contact us and provide us with the management's name, contact person in the management office, phone and fax number. We will contact them directly and make sure that they will receive the insurance certificate required before the move.
- Date and time we will be allowed to perform the move. If you are planning to relocate your business after hours or during the weekend it is very important to make sure that the management allows you to do so. If you are moving from a facility with elevators, the management may provide you with a freight elevator. If we need to use the regular elevators during regular business hours, the management may assign one elevator for your move which will be padded to protect the elevator or they will provide you with a time frame of the amount of hours you can use the elevators.
- Some facilities have a back pass or a back loading dock they require you to use during the move to avoid interruption to other companies in the building.
- Some facilities require protection of the floor during the move in order to avoid damages to the floors. We will supply protection to the floors at no additional cost.
- Parking permits if the facilities you are moving from or to have no loading docks or parking spots available.
Those are the most common requests from management facilities to the carriers, but the management may have some more requests for you as a tenant.
- Visit your new location in order to decide the designated area for each employee and department. Draw a floor map of the new location or simply contact the facility management and ask them for a blueprint where you can draw the floor plan as needed on top of it.
- Find out the floor you are moving to and what type of elevator will be supplied on the moving day.
- If the space you are moving to is smaller than your current location, decide if you want to store some of your inventory or dispose of it. Either way we will be able to assist you with storage and disposal services. Make sure you have a detailed inventory of such items.
- Determine if you need help with packing your belonging in boxes. In most cases the employees will pack their personal paper work and we will pack the remaining files, computers, printers, copiers and fax machines and any other items needed to be packed.
- If you are moving cubicles, find out there type and model number as well is the amount of cubicles needed to be relocated. If the cubicles are wired you will need to contact the facility you are moving from and to and find out if they will supply an electrician to unplug the power from the main panel and plug it back in the new location. If the management will not be able to do so, we will supply the electrician at an additional cost which will be added to the total cost of your move according to the amount of work the electrician is required to do during the move.
- If you are moving over more than one day for any reason, let us know and we will coordinate the dates for you.
- Find out if the facility you are moving to can accept delivery on the same day you are moving out. If not, other arrangements can be made before the move.
The following are a list of things you need to do before your move, feel free to print it and use it to organize your move.
- Find out your new facility address and send a memo to all your employees including the approximate moving dates.
- Send another memo to the employees that includes directions to the new facility from different roads.
- Schedule a staff meeting before the move to talk about the moving process, relocation plan and work schedule for the first few days after the move.
- Create a floor plan with designated areas for the employees and departments.
- Contact your clients and inform them of your move and the new facility address and phone numbers, if changed.
- Contact all your vendors and provide them will all your new contact information including phone numbers and address.
- Schedule appointments with all the necessary services you may need for your move such as: Phone Company, phone system, IT person, electricity, gas, accountants, internet connection, advertising and marketing, print shop for new paper work, business cards and letterheads.

- Schedule your move with the chosen carrier.
- Get boxes and moving labels to pack your belonging and mark them with the person's name, department name, and the designated area at the new location.
